Keys - Keys will be issued only after balance has been paid in full. All keys must be returned to the office by 11am. If your unit has a key code, you must call the office at your departure, which must be by 11am. There is a $50.00 per set key charge for lost or unreturned keys. After hours, if you lock yourself out of the unit, there is a $50.00 service charge for someone to return to the office to issue another set of keys. Weather/Driving Conditions - Roads in the mountains can be difficult during any season. Road surface conditions are not guaranteed at any time. Please ask about the road condition of the unit you are interested in when making reservations, some may be gravel drives or roads. No changes or refunds will be given for fear of curvy or steep roads. No one can predict the weather in the mountains. There are no refunds given due to weather. Four wheel drive and/or chains are recommended during the winter season. We do not provide transportation or take responsibility for towing service. Once you arrive and have checked into your unit, there will be no changing units or refunds if weather changes. Lost and Found - Please check your unit thoroughly prior to your departure for any personal belongings. We will not be responsible for items lost or left behind. If you notice you have left an item behind, please call our office and every effort will be made to locate the item. If item is found, it will be shipped C.O.D. Critters and Wildlife - Please remember you are in the mountains. Each unit is professionally treated for pest control on a regular basis. Occasionally a few critters could make their way back inside. In these rare instances, no refund will be given. In such a case, notify the office, and we will make every effort to rectify the problem. Please do your part by keeping windows and doors closed and all food and trash inside or in the appropriate outside receptacles. Pets - NO PETS ALLOWED!!! Anyone found with a pet in or on the premises without permission will be charged a $200.00 cleaning fee and escorted from the property immediately and forfeit all money paid. Fireplaces - Gas and wood fireplaces will be operable from October 1 thru March 1. During that time, a starter supply of wood will be provided. Kindling, matches and additional wood can be purchased at most convenience stores. Please do not burn anything in gas fireplaces or rearrange the logs. There is a minimum charge of $75.00 if someone has to come and reset the logs. During spring and summer months, gas will be turned off and wood will not be provided for fireplaces. Telephones, Televisions and Stereos - Each unit is privately owned. Not all units provide local phone service or cable/satellite. For units with local phone service, a calling card with 800 number access or calling collection will be needed for long distance calls. The type of television service is determined by individual owners. Some areas do not have access to local cable or satellite. Premium channels are not typically provided. There is no guarantee of any television service, therefore no refunds or discounts will be provided. Please do not move, rearrange or disconnect any cables to any entertainment devices. There will be a $25.00 reconnection charge. Furnishings - All units we manage are individually owned and furnished. Units come equipped with most basic items needed (towels, linens, dishes etc.) Please do not take for granted that the unit you have rented has all the amenities you are looking for, please call our office and ask. Some owners may decorate for the holidays but are not required to. Housekeeping - All units are cleaned after each guests' departure. There will be no daily housekeeping during your stay. If your unit does not have a washer/dryer, you may bring your dirty towels to the office in exchange or the same number of clean towels. Guests are responsible for damaged or missing towels and linens. (Make-up stains, grease, etc.) Before you leave, please leave the kitchen clean, wash all the dishes you used, take out the trash, set the thermostat (55 in winter and 75 in summer) and lock all doors and windows. Payments - THE FIRST NIGHT DEPOSIT IS DUE AT TIME OF RESERVATION. THE REMAINING BALANCE IS DUE 2 WEEKS PRIOR TO ARRIVAL. IF RESERVATION IS MADE IN SIDE TWO WEEKS FULL PAYMENT IS DUE. PERSONAL CHECKS MAY BE ACCEPTED 30 DAYS BEFORE ARRIVAL. Swimming Pools - Some units come with access to swimming pools. There are no lifeguards on duty and swimming is at your own risk. We ask that you please bring your own towels to use at the pool. Check-ins and Check-out - All guests must check-in and out at the office located at 3346 Parkway, Pigeon Forge, TN 37876. Check-in begins anytime after 3:00 p.m. Eastern Time. While we make every effort to help you start your vacation with no delays, during peak season, its possible for check-in to be running slightly off-schedule. If you will be arriving after office hours, please call and let one of our reservations know so a late arrival packet can be left for you. Final payment must be made at the time you call. No late arrivals will be allowed without payment in full. There will be no refunds for early departure. Check-out is by 11 a.m. at the office. If your unit has a key code, please call the office upon your departure. The person the unit is registered to must be in person to check-in unless arrangements are made. Keys will only be given to the registered guest once the balance is paid in full. Financial Responsibility - Guests assume full responsibility for all damages, excessive cleaning charges, or any missing items including towels and linens. If we have a credit card on file, it will be force charged in full for any damages to the unit or missing items at the cost of repair or replacement. If you do not have a credit card on file and paid cash for stay, you will be responsible for payment and collection costs. Additional Guests - Additional guests must register at time or arrival. Due to local fire codes, the number of guests cannot exceed maximum number of guests the unit will sleep. Reserved Unit - If for some reason the unit you reserved becomes unavailable we reserve the right to move your reservation to a comparable unit. In most instances this becomes your advantage because if possible, we gladly upgrade you to a larger unit or a unit with more amenities. Hot Tubs, Jacuzzis and Saunas - Remember there are certain health risks associated with the use of hot tubs, Jacuzzi's and/or saunas. Each registered guest is responsible for informing his or her guest of the possible risks. Each hot tub is sanitized and serviced for correct chemicals after each guest departs. Hot tubs are for enjoyment only without the use of normal bathing products (soap, shampoo, bath oil, etc.) Hot tub covers are to be kept on hot tubs at all times unless hot tub is being used. DO NOT SIT, STAND ON OR MISTREAT any hot tub cover. A $350 charge will result in any damages to hot tub covers. Consult a physician if you have questions or concerns before the use of a hot tub, Jacuzzi, sauna and/or pool. You may call the office during regular business hours with any questions you may have concerning your hot tub. Physicians strongly discourage pregnant women from using a hot tub. To be considered a Group Reservation, the reservation must consist of a MINIMUM of 10 PAID ROOMS. Anything 10 rooms and below does not meet group discount rate requirements. The must be one main contact between Kimble Group Sales Office and the group in question. If group reservation sets up individual pay, we must have a Master Group List to match names as they call in their payment. Youth Groups / Fraternities / Sororities Fraternities / Sororities: There will be an additional $1000 security/damage deposit per building required. This is refundable as long as no damage has occurred. Inspection of Units Kimble Overnight Rentals must be notified at time of booking if group is Tax Exempt. There will be no refunds or changes made after final payment has been made. Deposit Information Cancellation For groups with 26 + bedrooms: A 45-day cancellation is REQUIRED. This means 45 days prior to arrival. If canceled from date of booking until 45 days prior to arrival, you will lose $50. If canceled inside 45 days, you will lose your group booking deposit. Any cancellations inside 14 days, you will lose all deposits paid. ADDITIONAL DISCOUNTS CANNOT BE COMBINED WITH GROUP RATES. |
